It’s easy to see why communication in the workplace is important. Ineffective workplace communication can result in frustrated employees, rifts between colleagues, unhappy clients, and delays or failures in reaching company goals. But understanding the need for communication and actually creating an environment with open and effective communication are two different things. We’ve compiled a list of 4 practical suggestions that can help business owners and managers encourage communication between staff, management, and clients.
1. Keep Communication Regular
Let your employees know from the beginning that your door is always open. But don’t let those be empty words. Having regular team meetings, as well as one-on-one meetings with employees, gives them a platform to voice their needs, concerns, and ideas. Be careful not to just go through the motions of having these meetings. You may need to carve out time to be able to really listen to what your team members have to say and respond in a constructive, positive way.
2. Follow Up in Writing
After a client or team meeting, it’s helpful to send an email to everyone involved summarizing what was discussed at the meeting. It can be helpful to have an outline before the meeting and/or assign someone to take notes during the meeting. This can help prevent misunderstandings. A written record is more reliable than anyone’s memory.
3. Take Surveys
There are many survey applications available to get you feedback from clients or even employees. These can even be made anonymous so your team can express themselves without feeling singled out. This doesn’t replace person-to-person communication, bu it’s a great way to quickly get a read on how your staff feel about a particular topic.
4. Use Communication Software
Communication software fills in just about any of the other gaps you might have in your workplace communication network. Panasonic’s UC Pro software allows employees to stay in touch, whether in the office, working remotely, or on the go. It uses features such as text chat, video conferencing, and even lets you place phone calls. It also helps keep track of client contact information and call records. These and many other features will give your team a lot of options to continue to work together from wherever they are.
There are many things you can do to improve workplace communication, but the important thing is that you make the effort. By taking the initiative, you can make it easier for your team to communicate openly and effectively.
